Have You Checked Your Voice Mail Greeting Lately?

What is Your Voice Mail Greeting Saying About You? 

 

Phone messageWe don't often call ourselves so when was the last time you checked the greeting on your cell phone, on your office phone or home phone?


I have gotten in the habit of not leaving a message if the message is long. I hang up and text. Long messages drive me crazy.  Your message is a form of marketing and creating an impression, good or bad. This opportunity should be used correctly.


Is It Outdated?

It's time to refresh it. Keep it short and sweet. Keep your voice upbeat but not sickly sweet. You know the difference. Many of us keep the same greeting for years. I am as guilty as the next one for forgetting and neglecting this greeting. This is one of my marketing tools and I need to be current and fresh..


Some Make You Cringe

Some greetings are like fingernails on a chalkboard. The person sounds so irritated or that they are really bothered or annoyed by the call. Some sound like they have no time for your call. You know the one that says, Leave a message if you must. I have a friend with a greeting like this. What does yours sound like?


Inflection and Attitude

A pleasant voice and attitude help make people want to do business with you. Make sure your greeting is a snippet of the good attitude they will receive when you finally get to talk. You know the ones that stick in your mind as good ones. Be one of those.


All Those Details Aren't Necessary

We no longer need the caller to tell us what day and time they called. Our phones record this info and the phone number, too.  Keep the message short. Of course, state who you are and ask them to please leave a short message. Speak clearly so they will, too.


The Dissertation

You know the ones that go on and on telling you everything about them and their whereabouts. Now here's the truth; all I want to know is that I have the right number and called the right person. I don't care that you are out selling another house or helping a client realize their dreams. I am trying to do the same. Just cut to the chase. When I hear this type of greeting I for sure want to hang up and text.


Show a Little Attitude

A good attitude and interest in the caller can be heard in the voice. Using different inflections can sound even more appealing and pleasant to the listening ear. A flat monotone voice is blah and shows a lack of interest and can make the caller wonder if you really are in the business of delivering good customer service.


Try It, You Might Like It

Give it a try. Create a fresh new greeting that matches our lifestyles, quick and professional. Listen back and see if it is the image you want to convey. It could be that little extra that wins you more business. You never know until you try.

Nice reminder, Debbie. I can't tell you how often I'm appalled by the outgoing messages I hear from other agents. I, of course, love the ones that refer to being out of office for a holiday that took place three weeks ago; the ones that spend 5+ minutes listing their entire schedule for the day. Of course, the best one is... "this agent's voice mail box is full, call back again." Truly amazing how often I get this one! This should be featured.

What a wonderful reminder for all of us. It's been awhile since I changed mine. I hate the long ones..I always hang up and text. I called an agent who had show instructions for his listing that stated "Call Agent for appointment". I did and guess what? Yup you guessed it... mailbox full and his office said he was gone for the week-end and had no cell phone reception..really!!

OMG, your comment, "Just cut to the chase!" made me laugh out loud!  I think the worst thing with voicemail is getting the message that the agent's voicemail is full - HOW?  How are you NOT answering your calls or frequently checking your voicemail messages and deleting the messages?  Oh, I could go on a tirade about this!

I do ask for people to leave their name and number and the best time to return the call.  I read a study a few years ago about the best outgoing message to get people to actually leave a message.  However if I'm calling someone and their message goes on and on I just cut to the chase and hit star and it moves right to the leave the message part.

Good reminder to check mine! As for my outgoing calls: if they don't pick up I will rarely leave a voice message. Leaving an email or text message seems to get a more reliable response.

I've not had complaints about my voice message.  Long messages drive me bonkers too. Equally annoying ... when there is no message at all.  It makes me wonder if I dialed the wrong number.

I tried recording a new message everyday for a while (like L. Scott Ferguson.)  It was tiring and if I forgot then they would get a dated message.  But I do appreciate those that stick to to it - it shows they check it often.

Btw, one thing to mention with messages, many people think that it is cute to have their grandchildren assist in the recording of their message, someone needs to tell them that it is not.

Debbie, there is a quiz show on NPR on Saturday that has a first prize that many agents ould use - broadcaster Carl Kasell's voice for their voicemail message! Considering this is the first impression a lot of clients get, it's worth having a good one.

Debbie Reynolds - now this is a great advice for sure. A complete package of our voice message tells our clients (many of them potential clients) who we are!

(I know some 'C" personalities leaving a message like it is Friday the 3rd February etc....not a personal fan of such messages, though.)

I think this is such an important post with some really good suggestions. Some voice mail recordings really are pretty bad - I hate when the person doesn't say their name and you don't know if you have reached the right person. I just changed mine again - thanks!

I think they do need to be updated every few years at the latest. They should all have say the callers name so you know you dialed the correct number, but also they need to be short and to the point.
